Game Reschedule Instructions

The N/C (no charge) reschedule period deadline April 9th. With regards to reschedules, they will be handled the same way we did last season with the online form (more information to follow below).  All Clubs should be cognizant when proposing a rescheduled match where fields are shared by other leagues such as Diamond and Copley Road. Often there are five different leagues (GAASA, State League, Ohio North Premier League, Great Lakes Conference and the adults NOASA) scheduled at these sites. You will need to work closely with the field administrator before assuming that the new game date & time is acceptable.  GAASA does not handle this.

If you need to reschedule a game, you must coordinate and get approval from your opponent's team coach before submitting the on-line form to GAASA. There is no longer a centralized posted location of all of the GAASA coaches for the season. We are no longer going to post that information in a central location for privacy. However, while the season is posted anyone can view the schedule and look at the other team’s information and their coaches/rosters if they know how to navigate the Demosphere website.  

1) Click on your teams division link in the schedule link above.

2) Click on your opponent's team link listed at the top of the division schedule. It will pull up all of the team information. The coach’s information is listed. 

3) You need to click the email link to view their email address.  

4) Once you have their email address, please compose a simple email of your proposed game change for approval, also Cc: email.gaasa@gmail.com . I highly recommend that you also follow up with a text to the coaches’ phone number that a reschedule request has been emailed, and follow up regularly.

Once the reschedule is submitted & approved it will be updated in the system within a day or so, typically processed on weekly on Sundays.  

When the schedule is updated, it places a small red circle with an R in it as shown in #3 above that the game was rescheduled in the last 7 days. After 7 days it changes to yellow. 

 

You can also contact the Manchester registrar or the Coventry registrar if you would like to use their fields as a neutral site. Please Cc myself for neutral field requests, as I am processing all of the reschedules: nic.o.gaasa@gmail.com  

If a club or coach is not responsive to multiple reschedule requests, GAASA reserves the right to reschedule a game without approval before 8/13/21. After this date the schedule will be considered final and referees will begin to be assigned, and future reschedule requests will incur a fee.

FYI:

When you view your clubs schedule:  

1) Consider stacking your home games back-to-back to make a 2 or 3 game set for a single referee to cover. 2-3 game sets are always the first games to be assigned. Example: at a single complex with multiple fields, 7v7, 9v9, 11v11, if you have 3 games starting at 1pm, you will likely be short a referee. Consider revising the game times to be 1pm for a U9 game, 2:15pm for a U11 game, and then a 4pm time for a U13 game. Use the following as a rule of thumb:

U9 & U10: 7v7 (50 min. play time, 5min half, 30 min delay between games = 1hr, 25 min between games on the same field)  

U11 & U12: 9v9 (60 min. play time, 5min half, 30 min delay between games = 1hr, 35 min between games)  

U13 & U14/U15: 11v11 (70 min. play time, 5min half, 30 min delay between games = 1hr, 45 min between games)   

2) If you need to schedule a game on a weeknight, in the spring schedule it as late in the season as possible, or early in the season for fall, and set your game time to ensure adequate daylight. Also be cognizant of travel time for parents and work schedules. Most people would prefer to not have weeknight games.

3) Look at drive times, and let me know if you need to consider a neutral field location. Do NOT assume that you can reschedule on someone else's field without their prior approval.  

4) Normally teams that have long drive times may try to schedule back to backs or double headers. This is a good Idea, but give the kids an extra long break between games, (more than 30min).

5) If you are unsure of the reschedule procedures, here is a quick recap:

Once the schedule has been made available to the membership, teams will have a designated period of time (as set in the league calendar) to make any changes needed with the cooperation of their opponent at no charge. Once the date has passed for n/c reschedules, should a reschedule be granted for any reason other than the proverbial “act of God” clause, which does not cover school trips, other athletic functions and the like, there will be a fee of $100 charged to the team/club requesting the change. So, it is important for all coaches to review their schedules ASAP to see if they need to make a change in their schedule between the prescribed dates of the preliminary schedule posting and the schedule change deadline.
